Preparing for Poster Sessions

We aim to make the 3E 2025 conference a paperless event. Therefore, no hard copies of extended abstracts will be distributed by the organizers. Extended abstracts can be accessed online during the conference.

There will also be no printed copies of the conference timetable. Please ensure you have access to the latest draft version online or via your personal device.

Poster Session Overview

  • Date & Time: Thursday, May 22nd, 2025, from 15:00–16:00
  • Location: Designated Poster Area in the Lobby

The poster session is designed to create an interactive, engaging environment for you to share your work, receive feedback, and build new professional connections. We have clearly highlighted the poster session in the program to ensure maximum visibility and participation.

Session Format

The poster session will be a dedicated interaction period where you, as the presenter, will:

  • Be available at your poster throughout the session.
  • Setup Time: Please set up your poster between 08:00–09:00 on May 22nd
  • Give a brief 3–5 minute overview of your work to approaching attendees.
  • Engage in open discussion, answer questions, and invite feedback.
  • After 30 minutes, there will be time for attendees to change to another poster.

The format is informal and unplugged — no formal presentations, PowerPoints, or scheduled speeches. The focus is on one-on-one or small-group conversations around your poster.

The Role of the Poster Presenter

As a presenter, you are expected to:

  • Prepare your poster before the conference. The poster should be A0 size; otherwise, you are free to choose the formatting.
  • Bring your printed poster to the conference (please note the organizers will not provide printing services). Poster boards and mounting materials (pushpins or similar) will be provided.
  • Set up your poster before the session begins (on Thursday at 8.00–9.00)
  • Stay close to your poster during the full session to welcome attendees and discuss your work.
  • Prepare a short overview (3–5 minutes) to introduce the project when approached.
  • Encourage interaction by asking attendees for feedback or sharing open questions.
  • Make your session as interactive and dynamic as possible – the goal is conversation, not monologue.

The Role of the Audience

At 3E, poster presentations are a core feature of our conference culture. They allow for fresh ideas, work-in-progress projects, interdisciplinary dialogue, and a high degree of networking and learning. We encourage all participants to approach the poster session as an opportunity for learning, sharing, and constructive dialogue. As an audience member, you are expected to:

  • Read the extended poster abstracts in advance if possible to familiarize yourself with the topics.
  • Come prepared with questions, reflections, or experiences you would like to share.
  • Be constructive and appreciative in your feedback, recognizing the diversity of research stages and approaches.
  • Engage respectfully and inclusively, ensuring all discussions are collegial, insightful, and supportive.
